WhatsApp Messaging Now Integrated with Team Engine
Learn how Team Engine's WhatsApp integration for employee communication helps businesses connect with field employees through seamless, compliant messaging.
Team Engine users can now strengthen their communication tools with the integration of WhatsApp, providing an additional way to connect with their field workforce. This integration is crucial for reaching employees or H-2B workers who may not have access to traditional channels like email or text messaging.
Many field employees, particularly those on U.S. work visas, often lack email addresses or reliable phone service, making WhatsApp—requiring only Wi-Fi for messaging—an ideal solution. It also supports communication with seasonal workers outside the U.S. who will join the company at a future date.
Why We Did This
While many Team Engine customers use email and text to reach their workforce, some employees may never check these channels, missing out on important updates. Without an email address or reliable phone for texts, vital information can be overlooked, leading to misunderstandings and feelings of being undervalued.
Businesses using the H-2B visa program often rely on WhatsApp to communicate with workers before they arrive in the U.S. Previously, this had to be done outside Team Engine using personal phones. Some of our customers, especially those with Latino employees, even carried separate phones for work and personal WhatsApp messages.
Language barriers add another layer of complexity, making translation and more accessible messaging options essential.
WhatsApp for Internal Communication in Team Engine
Our new WhatsApp messaging tool solves these challenges, offering more ways to engage your workforce. You can expect the same features you already depend on—scheduled and recurring messages, group announcements, automations, and more—now through WhatsApp.
For many customers, WhatsApp is already a key part of their communication strategy. This integration streamlines workforce communications within Team Engine, improving leadership’s visibility and responsiveness to communication from the field.
For those who haven’t adopted WhatsApp for employee communication, we encourage you to consider it, especially if your workforce includes Latino employees. Siu Mei Hau Yon, HR Manager at Hidden Creek Landscaping, explains, “A lot of our workforce is Hispanic, and as a culture, everyone that is not from the U.S. originally uses WhatsApp to communicate. They use it more. They check it more. They just prefer it.”
Using WhatsApp helps ensure effective communication and shows your workforce they’re valued team members who deserve timely information. Meeting employees on their preferred communication channel improves engagement and reduces miscommunication.
Compliance with Meta's WhatsApp Rules
It’s important to understand that WhatsApp business messaging is subject to Meta’s strict guidelines. WhatsApp can’t be used for cold outreach or marketing because you must have the recipient’s WhatsApp number. Additionally, any initial messages from business accounts to individuals must be approved by Meta to prevent spam.
We’ve worked hard to ensure Team Engine’s WhatsApp bulk messaging tool complies with these rules, allowing you to enjoy effortless internal messaging while staying compliant.
How to Integrate WhatsApp with Your Team Engine Account
Integrating WhatsApp with Team Engine is easy. Just email our support team to get started. We’ll guide you through the quick, but slightly technical, setup process, which we’ve broken down into three phases:
Phase 1: Team Engine account configuration
This one’s on us; you don’t have to do anything! Once you let us know you’d like to integrate your account with WhatsApp, we’ll make sure your business is properly registered with Twilio, the platform that allows us to integrate WhatsApp with Team Engine.
Phase 2: Link customer Facebook account to Team Engine
For this step, you’ll schedule a call with our Customer Support team. Together, you’ll connect your company’s Facebook Business account to Team Engine.
(Don’t have a Facebook business account? That’s okay; we’ll help you set that up, too!)
Phase 3: Facebook and Twilio Verification
This one is all on us, too. We just need to confirm all the systems have been properly registered and connected.
The amount of time required to complete these three phases will vary from company to company, but could take as little as a few days, or a few weeks at most.
Two additional things to note:
- This new feature is currently available at no additional cost, but that may change in the future.
- This new feature is currently only available to single organization Team Engine customers. If your account is set up with multiple organizations, you will have access to this feature at a later date.
